Acceptance of your paper is made with the understanding that at least one author will attend the conference to present the paper.
If a paper is not presented during a session, it causes severe disruption to the session.
To avoid such interruptions, we would greatly appreciate it if you would write an email to secretariat-roman2009
and withdraw your paper as soon as possible in the event that you or a co-author cannot attend the conference to present the paper.
Draft Papers: 
Draft reviews are single-blind. Please include author names and affiliations.
Preparation of Final Camera-Ready Papers: 

Final papers should be up to 6 pages long. Note, accepted papers for the proceedings can be up to 8 pages long, with extra page charges (for each page beyond 6 pages), see below, maximum 8 pages. The paper size for the final submission should be A4. All necessary forms needed for submission of your final manuscript will be created by the electronic submission website at the time of final submission. Authors need to sign and submit the IEEE copyright release form and will only be able to upload papers once they have completed the copyright transfer process. Electronic submission of the final camera-ready version of the manuscript is due by Jul. 15, 2009.
Authors must carefully consider the reviewers' comments and take them into account when preparing the final paper.
Authors also need to upload a single Powerpoint slide for Conference Digest when submission of the final manuscript. That will printed in a booklet which will be distributed to all registered conference participants. It's important that you provide a clear information on your paper in the Digest slide. To prepare the Digest slide corresponding to your paper, please use only the PowerPoint template (download
). Please follow the instructions given on the templete slide.

Templates and Submission Procedure: 
Authors should use the templates provided by the electronic submission system. The templates for A4 paper should be used.
The manuscript submission website will require that you submit your abstract and make any final changes to the author list and title of the paper before uploading the paper.
All authors and co-authors must be registered in the electronic system. It is the corresponding author’s responsibility to ensure that the complete author list and the correct title are being entered. This information will be used for the conference programme and the proceedings.
Authors should adhere to the following steps for submitting the paper: (for initial submission) 
- Create an account: go to https://ras.papercept.net/
- PIN and fill out the form Ask all your co-authors to do the same if they do not have an account on the system yet, write down the authors' PINs (this information is needed for manuscript processing purposes)

- Use these templates/style files to create the paper, and save in pdf format

- Test pdf for compliance: go to PDF test

- Upload paper: go to https://ras.papercept.net/
- Submit a contribution to RO-MAN 2009
- Submit (regular paper, special session proposal, special session paper)
- Fill in the form presented on the next page (make sure to enter all author PINs created in Step 1)
Paper length and size: 
Submissions should generally not exceed 6 pages. However, accepted papers for the proceedings can be up to 8 pages long, with extra page charges of 10,000 JPY for each extra page exceeding the 6-page paper length - maximum 8 pages. The maximum file size is 2 MB.
Reminder: Final camera ready copy submission due by Jul. 15, 2009 needs to be in A4 page size format!
