Acceptance of your video is made with the understanding that at least one author will attend the conference to present the video. If a video is not presented during a session, it causes severe disruption to the session. To avoid such interruptions, we would greatly appreciate it if you would write an email to secretariat-roman2009 and withdraw your video as soon as possible in the event that you or a co-author cannot attend the conference to present the video.

Categories of the Video Session: Edit

In this RO-MAN, the following three kinds of video sessions will be held.

  • Art and Design Category
    This session solicits videos presenting novel idea, artistic interests, creative design of robot system, etc. Authors are required to submit the following two files via the PaperPlaza web page.
  • Human-Robot Interaction Category
    This session focuses on interaction between human and real mechanical systems, such as robots, and/or software systems. Both technical videos and artistic videos are cordially invited for this session. Authors are required to submit the following two files via the PaperPlaza web page.

Final Submission Instructions: Edit

Final video contributions consist of a mpeg file, a technical paper or one-page summary of the video in the format of PDF file, a single PowerPoint slide for Conference Digest, and two additional text files for IEEE Xplore.

For your final video to be include in the conference proceedings, at least one of the authors must register for RO-MAN 2009. One registration can be used to upload one contribution. The registration fee must be paid by the deadline of the final video submission, Jul. 15, 2009.

Authors must carefully consider the reviewers' comments and take them into account when preparing the final video contributions.

Formats and Codecs of Videos Edit

The file size of video should be up to 50 MB. The authors of each video must have clear copyright of the audio and visual content. Videos should not use special codecs in order to provide as much portability across platforms as possible. We strongly recommend the most common media formats (mpeg 1 or mpeg 4). Only freely available players (e.g., QuickTime, RealPlayer, Microsoft Windows Media Player, MPlayer) should be required for viewing the video. Providing video portability is a responsibility of the authors, also in their interest.

Preparation of Full-length Technical Paper Edit

Full length technical paper is required for the Technical Category video session with 1.5-3 minutes video.
The paper should be up to 6 page long in the specified conference double-column format. We strongly encourage authors to use the templates provided by the electronic submission system (Support: LaTeX Support or MS-Word Support). Authors should use the templates for A4 paper size to create the contribution paper and save it in pdf format.
The pdf version of your paper should adhere to these instructions. Before submission, go to PDF test and check if your pdf file is IEEE pdf compliant.

Preparation of One-page Summary Edit

One-page summary must be attached to the video for the Art and Design Category or Human-Robot Interaction Category video sessions. This summary paper, which can include not just text but also figures, should provide an outline of the work presented in the video and exhibit your work's appealing points.

Authors can use the templates for A4 paper size provided by the electronic submission system (Support: LaTeX Support or MS-Word Support). This one-page summary should also be IEEE pdf compliant. Visit PDF test and check your pdf file before submission.

Slide Preparation for Conference Digest Edit

Authors also need to upload a single PowerPoint slide for Conference Digest at the final submission. That will printed in a booklet which will be distributed to all registered conference participants in RO-MAN 2009. It's important that you provide a clear information on your video in the Digest slide. To prepare the Digest slide corresponding to your video, please use only the PowerPoint template (download). Please follow the instructions given on the template slide.

Preparation of Summary.txt and ReadMe.txt files Edit

All accepted video contributions will be included in the DVD conference proceedings, and also in IEEE Xplore. The video will appear as an enhanced object next to the PDF. To facilitate this, authors are required to submit the following two additional files.

Summary.txt file (max 1 KB)
This text file describes in 5 sentences or less the contents or value of the extended object (the video). This file helps IEEE Xplore users to make downloading decisions.

ReadMe.txt file (max 10 KB)
IEEE requires a plain text Readme file for multimedia contents. It must contain

  • Description:
    An overall description of the objects and what the audience can expect to gain by downloading them;
  • Multimedia player information:
    Provide the minimum version of the player software that is required to play the submitted files. Include the name of the software, the version number, and any special requirements for the player;
  • Author contact information:
    The author should provide contact information in case users have questions regarding the extended material. IEEE will not provide any technical support. Note that both the above files should be in .txt format. They are needed by IEEE in order to include the video in IEEE Xplore.

Submission Procedure: Edit

  1. Create an account: go to https://ras.papercept.net/
    • Register a new PIN and fill out the form. Ask all your co-authors to do the same if they do not have an account on the system yet, write down the authors' PINs (this information is needed for manuscript processing purposes)
  2. Make contribution videos in accordance with the above instructions
  3. Download a template: go to Support
    • LaTeX Support or MS-Word Support
    • Use these templates/style files to create the full-length technical paper or one-page summary, and save in pdf format
  4. Test pdf for compliance: go to PDF test
  5. Upload video and paper: go to https://ras.papercept.net/
    • Submit a contribution to RO-MAN 2009 (select Type of submission as video)
  6. Fill in the form presented on the next page (make sure to enter all author PINs created in Step 1)
